# Letterheads

Short answer

A letterhead is an A4 sheet carrying the company logo, contact details and corporate styling, onto which a contract or official letter is printed. The key technical requirement is leaving a clear text area and staying compatible with an ordinary office printer.

A letterhead is the printed item with two lives: first we print it with the logo, then the client prints their own text onto it on an office printer. That duality creates the main technical requirements — and the main mistakes. The most common: designing a letterhead as if it were the finished product, leaving no room for the text. This page covers how to plan a letterhead that is genuinely usable.

## The text area — the main constraint

A letterhead exists so that text can be printed onto it, so the design must leave most of the sheet clear. Practical proportions: three to four centimetres at the top for the logo and corporate elements, two to three at the bottom for contact details, and the middle — at least 60% of the sheet — entirely clear. A common mistake is adding decorative side bars: they look attractive on a blank letterhead but narrow the text area and complicate contract formatting.

- Top 3-4 cm — logo and corporate area
- Bottom 2-3 cm — contact details
- Middle 60%+ — entirely clear
- Side bars narrow the text area

## Office printer compatibility

This is the detail to check before printing. Ordinary laser and inkjet office printers do not print to the sheet edge — they have a technical margin, usually four to five millimetres. That does not affect us (we print with bleed), but it does affect the client: if the letterhead is planned so text must sit very close to the edge, an office printer cannot produce it. The second consideration is paper weight: very heavy stock will not feed through some office printers or jams. Standard office weights are safe for letterheads.

- Office printers have a 4-5 mm technical margin
- Text too close to the edge cannot be printed
- Very heavy stock jams in printers
- Standard office paper is safe for letterheads

## Full backgrounds — why they are not recommended

A coloured or textured background across the whole letterhead looks attractive but creates three practical problems. First, black text printed on it by an office printer loses contrast and becomes harder to read. Second, copying or scanning turns the background into blotches, and contracts are frequently copied and sent on. Third, ink or toner consumption rises. So we normally propose a white background with styling only in the logo and contact areas.

## Letterhead layout

| Zone | Content | Typical size |
| --- | --- | --- |
| Top area | Logo, company name | 3-4 cm |
| Text area | Clear — for contracts | 60%+ of the sheet |
| Bottom area | Address, phone, website | 2-3 cm |
| Side margins | Preferably clear | At least 2 cm |
| Background | White | Full background not recommended |

## Frequently Asked Questions

Do I need a double-sided letterhead?

Usually not. The reverse normally carries continued text printed on an office printer, so corporate styling there gets in the way. Sometimes a small logo or the bottom band is repeated.

Which paper should I choose?

Standard office weights are the most practical, because they feed through any printer. Heavier or textured stock reads as more valuable, but printer compatibility must be checked in advance.

I need to write on the letterhead by hand — is that possible?

Yes, if the paper is uncoated or matte. An ordinary pen writes poorly on coated gloss stock, which is awkward for a letterhead.

What is the minimum run?

Letterheads are normally printed in larger runs than business cards, because consumption is higher. We confirm the exact minimum at order.

Colour logo or single colour?

If the logo is colour, it should be colour on the letterhead too — a monochrome version breaks the visual system. The cost difference in digital printing is small.

I also need an electronic letterhead — can you help?

Yes, an electronic version (a Word or PDF template) for on-screen use is often prepared alongside. It must be agreed separately, since it is a different file from the print artwork.
